4-4. Complaining and Giving Opinions — Solving Problems Without Getting Angry
Phàn nàn và nêu ý kiến
🎯 Goal Politely complain about slow repairs, neighbor noise and service problems, and give your opinion with reasons · about 45 min
Gently, but clearly
Vietnamese people care a lot about face (thể diện). Raising your voice or arguing in front of others makes the other person lose face, and can actually slow things down.
Try making a complaint in these three steps:
- ① Soften it — Xin lỗi chị, nhưng… (Sorry, but…), Em hiểu là…, nhưng… (I understand that…, but…)
- ② The facts — since when, what, how many times: Em báo từ thứ hai mà tới giờ vẫn chưa…
- ③ The solution you want + a deadline — Phiền chị … trong ngày mai được không?
To give your opinion, use Theo em… (In my view), Em nghĩ là… (I think…), Em đồng ý / không đồng ý vì… (I agree / don't agree because…). Even when you disagree, acknowledging the other person first with Em hiểu ý anh (I see what you mean) makes it much softer.

Real conversation — Talking to the management office about slow repairs and noise
Water is leaking from Minsu's bathroom ceiling, but a week after he reported it, no repairman has come. The noise from upstairs also keeps going, so he goes to see Hương at the management office. Hương is younger than Minsu, so she calls herself em and calls him anh.
| Hello. Sorry to bother you, but there are two things I'd like to raise. |
| Hương | Dạ, anh cứ nói ạ. | Sure, go ahead. |
| Minsu | Thứ nhất, anh báo trần nhà tắm bị rỉ nước từ thứ hai tuần trước. Em hẹn thứ tư thợ qua, mà tới giờ vẫn chưa thấy ai. | First, I reported a leak in the bathroom ceiling last Monday. You said the repairman would come Wednesday, but no one has come yet. |
| I'm sorry. Our repairman was swamped last week, so it got delayed. |
| I understand, but if it keeps leaking the ceiling will get moldy. Could you arrange for the repairman to come tomorrow? |
| Hương | Dạ được. Sáng mai khoảng chín giờ thợ qua, em sẽ nhắn Zalo cho anh trước. | Yes. The repairman will come around 9 tomorrow morning. I'll message you on Zalo first. |
| Thanks. Second, the unit above drags furniture every night, sometimes until midnight. |
| Hương | Dạ, anh muốn tự nói chuyện với họ, hay để bên em nhắc giùm anh? | Would you like to talk to them yourself, or should we remind them for you? |
| I think it's better if you remind them, because I don't want to upset the neighbors. |
| I agree. I'll remind them gently and won't mention your name. |
| One more small suggestion: management could post the quiet hours in the elevator so everyone knows. |
| Hương | Ý kiến hay đó anh. Em sẽ báo lại với trưởng ban. | That's a good idea. I'll pass it on to the head of management. |
| Thanks for listening. If the repairman can't come tomorrow, please let me know early. |
| Hương | Dạ chắc chắn rồi anh. Một lần nữa em xin lỗi anh vì sự bất tiện này ạ. | Of course. Once again, I apologize for the inconvenience. |
Ways of speaking that solve problems without anger
- Putting Dạ at the start of a sentence and ạ / nha at the end makes the same complaint sound much softer.
- tôi keeps the other person at a distance, so it can sound angry or like a formal protest. If you speak as usual with em/anh/chị, people are more cooperative.
- When chasing something up, don't argue — ask them to set a date and time: Khi nào thợ qua được ạ? → Sáng mai mấy giờ ạ?
- Send a Zalo message summing up what was promised. Keeping photos and videos too gives you evidence if you have to raise it again.
- Disagree in the order acknowledge → reason → alternative: Em hiểu ý anh, nhưng … vì … Nếu được thì mình …
- When the problem is solved, be sure to say thanks, like Cảm ơn em đã giúp anh. It makes the next request easier.
Watch out
- Getting loudly angry or arguing in front of others makes the other person lose face and can make things take even longer.
- For neighbor noise, it's safer to go through the management office than to knock on their door yourself.
- Don't post someone's photo, name or unit number in the residents' group or in reviews to criticize them. It can make the problem bigger.
- Never use mày, tao (rude, overly familiar 'you / me') or swear words. Coming from a foreigner, it can be very offensive even as a joke.
- If there's a problem with your food at a restaurant, say so before eating. Once you've finished, it's hard to ask for a replacement.
